Key Takeaways

Businesses are prioritizing data accuracy to improve punctuality and efficiency in project management and delivery.

More4apps' ERP Cloud Toolbox Projects Module can help project teams to mass update data using Excel, reducing input time and increasing accuracy.

The integration of More4apps has streamlined processes, allowing for quick adjustments and enhancements in financial operations, ultimately supporting business growth.

In today’s competitive landscape, businesses have begun to gauge the accuracy of their ERP data management and whether their current processes allow them to meet critical deadlines, as well as optimize project quality and spending.

Recently, More4apps helped a company that was struggling with inefficient project data uploading processes in Oracle Cloud Fusion ERP.

A leading construction and engineering company, which delivers turnkey solutions for electric, gas utilities and telecommunications companies across the United States, was in search of a better solution. Its project finance team was responsible for frequently updating thousands of items on hundreds of projects in their Oracle Cloud ERP system, including assigning and changing resources, creating budgets and updating task DFFs and costs. However, the team ran into several challenges, the biggest being that FBDI and ADFbi do not include these required fields.

After initially asking their offshore IT resources to use APIs to make these updates, the company ran into other major issues. First, the offshore team was unfamiliar with their data, which regularly led to errors. Second, changes were only implemented when all the users were out of the system, leading to increased delays.

This was further complicated by communication issues that stemmed from collaborating across different time zones. Later, the customer’s team also tried to use Oracle forms to manually and individually update projects, only to find that it was time-consuming, frustrating and prone to errors. Given the scale of changes needed, they found that Oracle forms was not only impractical, but it also put the company at risk of missed deadlines, excess spending, monetary losses and quality issues.

To meet their needs of managing project data with up-to-date information for reporting, decision-making and financial processes en masse, the company turned to More4apps. The ERP Cloud Toolbox Projects Module enabled the team to seamlessly download their existing projects and project data into a single Excel spreadsheet. They were also able to quickly make updates, simultaneously uploading new data for thousands of projects from that same spreadsheet interface.

Managing project data with More4apps

More4apps’ ERP Cloud Toolbox Projects Module was especially valuable to the company during a period of internal restructuring when they transferred projects between divisions. The integrated spreadsheets allowed the company’s non-technical users to quickly download existing projects and modify the data, leveraging the flexibility and functionality of Excel, and validating the new data before uploading it directly to Oracle.

More4apps has also helped the company drastically reduce the time spent on loading, maintaining and validating their data, allowing them to make mass changes in minutes or hours instead of days. In addition to equipping the company with the ability to make quick contract adjustments during the month-end, More4apps reformed the company’s revenue process by providing tools that add new billing controls to hundreds of contracts simultaneously.

This partnership between More4apps and the company demonstrates the direct impact that the right software has on improving the project finance team’s efficiency and time management, impacting the functionality of operations as well as the speed of service and delivery.
